Job overview

The Wider Teams and Programmes of the Health Protection Division is pleased to be offering an exciting opportunity for an individual to join our team in one of our offices in Wales.  We are looking for a highly motivated and reliable Personal Assistant (PA).

Fixed Term contract until 31/03/2023.

 

Main duties of the job

To be considered for this role you will have proven experience of providing PA support or equivalent and be able to demonstrate attention to detail and be competent in diary management and in taking minutes, which is a key part of the role. You will also have excellent personal and interpersonal skills (both verbal and written) and be able to engage with stakeholders at all levels across Wales. You will have the ability to efficiently manage time and competing priorities and report, address and escalate issues in a timely and effective manner.

The ability to speak Welsh is desirable for this post; English and/or Welsh speakers are equally welcome to apply.

Qualifications

Essential criteria
  • • RSA level III/NVQ Level 3 together with a high level of numeracy, written and spoken English
  • • Demonstrable proven experience of working as a Senior Administrator
  • • Working knowledge of MS Office Suite.
Desirable criteria
  • • ECDL

Experience

Essential criteria
  • • Extensive experience of supporting a range of meetings, including note taking
  • • Experience of dealing with confidential and sensitive data and appropriate maintenance and storage of records.
  • • Knowledge and experience in a range of personal assistant and office responsibilities, including; non routine diary management and high level secretarial support.
  • • Support projects developing and identifying resources required, ensuring all materials and resources are current and appropriate
Desirable criteria
  • Previous experience in Health Protection or an NHS environment

Skills

Essential criteria
  • • Able to manage multiple diaries
  • • Advanced keyboard skills with the proven ability to produce reports, spreadsheets and correspondence
  • • Awareness of policies and procedures relating to dealing with confidential data, both personal and organisational
